Understanding CE audits.

Most state boards of nursing conduct random audits of license renewals to verify continuing education completion. These are typically random, though some boards may target certain renewal applications for review.

Essential documentation.

For each CE course completed, maintain documentation that includes:

Course title and description

Provider name and address

Accreditation/approval number

Date of completion

Number of contact hours awarded

Certificate number (if applicable)

Don't panic

Audits are routine. If you've completed your requirements and kept good records, you have nothing to worry about. Read the audit notice carefully for specific instructions and deadlines.

Gather documentation

Collect all certificates for courses completed during the renewal period. Verify each certificate contains required information and hours add up to meet requirements.

Create a summary

Prepare a summary sheet listing all courses with dates, hours, and providers. This makes it easier for the auditor to verify compliance and shows professionalism.

Submit before deadline

Follow submission instructions exactly. Keep copies of everything you submit. Request a receipt or confirmation if possible.

Follow up

If you haven't heard back within the stated timeframe, contact the board to confirm receipt and check status. Keep records of all communications.

Common audit problems to avoid

Missing certificates

Always download and save certificates immediately. Contact providers promptly if you need replacements.

Incomplete certificates

Certificates missing required information may be rejected. Verify completeness before moving on.

Unaccredited providers

Courses from unaccredited providers may not count. Always verify accreditation before purchasing.

Wrong dates

Courses completed outside your renewal period don't count. Know your exact renewal period dates.

Missing mandatory topics

General CE hours don't substitute for mandatory topics. Track mandatory requirements separately.

Missed deadline

Request extensions promptly if needed. Missing audit deadlines can result in license suspension.

Record retention.

General rule: Keep CE records for at least 4–5 years, or as long as specified by your state board.

Best practice: Keep records indefinitely in digital format. Storage is cheap.

Multi-state licenses: Follow the longest retention requirement among all your states.

Backup: Maintain copies in at least two locations (cloud + local) to prevent loss.
